The communication problem
Most parent questions shouldn't require a staff response.
When parents have to call the office to get basic information, the communication system isn't working. These are the patterns that repeat every term.
Parents call because they don't have information they should already have
Which program is my child in? Did my payment go through? What time is pickup today? Every incoming question is 5 minutes of your front desk that can't go to students.
The whole school doesn't need the Chess Club update
No good general email tool knows which families are in which program. You send to everyone. Parents tune out. Important messages get missed because everything looks the same.
Schedule changes don't reach everyone — and the calls start at pickup
Art Studio moved to Studio B. You updated the sign outside Room 201. Six parents show up at the wrong room. Four call the front desk at 3:45 PM. Pickup becomes chaos.
Parents texting personal staff phones after hours
A coordinator gave out their number 'just in case.' Now it's the main communication channel. Texts arrive at 7 PM. Replies are expected. Boundaries become impossible to maintain.
How communication works
Automatic updates reach the right families. Manual messages take 30 seconds.
Most communication runs without staff involvement — enrollment confirmations, receipts, attendance check-ins, pickup reminders. When staff do need to write a message, they send it to exactly one program's families in a few taps. No mass emails, no confusion about who received what.
- Send messages to any program's enrolled families only
- Enrollment confirmations sent automatically at registration
- Attendance check-in notifications to parents in real time
- Payment receipts and reminders without manual work
- Schedule changes and cancellations in one click
- Pickup reminders with authorized contact details
- Late pickup notices sent automatically when window closes
- Parent replies visible in one place — not a staff inbox
