The morning scramble
Camp days move fast. The admin behind them doesn't.
Camp operations are dynamic and physical. But the administrative layer — registration, waivers, check-in, payments, parent communication — has always moved like it's 1998.
Check-in is a printed list, a highlighter, and controlled chaos
Staff have a printed roster. Kids registered after it was printed aren't on it. Parents insist they paid. The line doesn't clear until 9:05. Groups can't start until 9:20.
Waiver collection is a separate process that always falls behind
Waivers are emailed separately. Some were printed and signed. Some were never sent. Day one starts with staff chasing paperwork while 28 campers pile into the gym.
Fees arrive through Venmo, check, and cash — never in one place
Someone paid by check. Another sent Venmo to the wrong number. A family thinks they paid but there's no record. Reconciliation takes Thursday afternoon every single week.
The director can't see what's happening across groups
Counselors have clipboards. The director gets a verbal update at lunch. If something happens in the morning, nobody has documentation until end of day.
